The Role

The Property Management & Leasing Assistant will assist the property management and leasing departments in Bahrain World Trade Center and MODA Mall on all day to day functions.

Key Responsibilities

  • Uploading all Yardi data relating to the car park
  • All car park queries and allocations new spaces, cancellations and transfers
  • Reviewing monthly and quarterly car park charges
  • All legal document preparation (leases, surrenders, renewals etc)
  • Calculating and preparing final surrender agreements
  • Maintaining the central filing system for all tenant lease documentation
  • Issuing all hard copies of legal documents and keeping track of any documentation issued to both the landlord and the tenants
  • Preparing legal case files
  • All tenant and landlord correspondence for both the Property Management department and the Leasing department
  • Preparing fit-out plans / premises plans to attach to each new legal document
  • Managing and organizing the monthly client report and ensuring that all departments provide the required documentation by the required date
  • Preparing key handover forms for tenants to sign when they collect new unit keys
  • Preparing all correspondence relating to the Municipality new leases, terminations, new address cards etc
  • Maintaining all up to date tenant CR’s within a central schedule
  • Maintaining all up to date tenant contact details with a central schedule
  • Requesting and maintaining all up to date tenant insurance policies
  • Being a point of contact for tenants and maintaining strong relationships
  • Preparing heads of terms
  • Maintaining and monitoring a schedule of leasing transactions
  • Carrying out viewings as and when required
  • Following up on leasing enquiries
  • Being a sole point of contact for all municipality enquires and processes
  • Monitoring tenant opening hours
  • Any further duties as requested
  • Skills, Knowledge and Experience

  • Excellent English language oral and writing skills;
  • Ability to work on own initiative and to have a proactive, positive approach;
  • Well-developed interpersonal and presentation skills;
  • Ability to work as a team member and to be flexible in accepting new responsibilities as the department grows.
  • Computer literate with proficiency in using Microsoft Office applications i.e. Word, PowerPoint and Excel;
  • Awareness of VAT, Municipality, Court Fee and other local regulations on charges
  • Proficiency in property management software packages preferable (Yardi, Tramps etc)
  • Self-motivating and ability to work autonomously as well as part of a team
  • Maintain and improve client relationships
  • Proactive in building relationships with colleagues and responsive and helpful to external clients
  • Can deal with difficult situations within context of own function or specialism
