Job Summary

AECOM is seeking for Receptionist to be based at Bahrain, Serve as the first point of contact for greeting visitors and callers to the office and departments.

Perform intermediate administrative duties. Answers and direct incomings telephone calls and takes messages, entrains office deliveries, utilizes paging system to locate staff and announce meetings.

Sends and sort courier and post mails, maintain all the meeting room schedules and appearance, assists with preparation for special meetings and events, places service calls for building management.

Types, and maintain office supplies. Accomplish administrative functions with the use of Word, Excel, Outlook, Office forms, Office equipment and basic office procedures.

Display good interpersonal, verbal and written communication skills and organizational skills. Other related duties assigned.

Job Duties

Reception / Front of House duties

Switchboard Operation

Greeting and signing-in visitors (providing them with a health and safety induction)

Organize meeting room bookings using Outlook.

Incoming and Outgoing courier post

To assist with the organization of all repair and maintenance of the Office equipment

Arrange WIFI log-ins

Photocopying / Document Collation

Manage visitor car-park

Prepare and maintain employee register

Typing up meeting notes and minutes

Maintain employee distribution list with updated details

Ensuring the reception area is presentable at all times

Following up on Oracle time card submissions

Politely answer and direct phone calls to relevant parties

Handling the visitor access card

Coordinate office PRO activities

Specific Skills Required : Effective communication skills

Minimum Requirements

Previous experience in the same role

Preferred Qualifications

  • Excellent IT Skills, particularly in outlook and MS office knowledgeable
