Purpose of the Job

As the Operating Assistant you will be responsible for providing administrative support along with clerical tasks that aid the daily business operations of MP Bahrain.

The incumbent will work closely with the General Manager and the Reservation Manager to help keep our business running smoothly, as well as ensuring the movement of traffics and pickups

About the Role

  • Daily checking of the No Shows, Go Shows and cars from the airport arrivals and informing the Reservations Department and the Operations Department.
  • Daily checking of the Airport Arrival Lists in case of any overbookings or Hotel reallocations and updating the Airport Reps with the information accordingly.
  • Support the Reservation Manager during the co-ordination of accommodation and transfers for go shows and unexpected reallocations.
  • Preparing the airport folders for the next day arrivals with all the necessary information.
  • Maintain communication with the reps about any Hotel / Flight changes (informing Reservations and Transfers department).
  • Support the General Manager or Reservation Manager in resolving operational issues
  • Store, file and retrieve corporate documents and reports as and when needed
  • Ensure the movement of traffic, pickups, and provide relevant and accurate information to clients
  • Perform general office administrative and clerical duties
  • Participating in training initiatives and re-enforcing service development
  • Responsible for answering enquiries and assisting their assigned team
  • Update internal operation procedures document as needed
  • The ability to build good working relationships, also liaising with contacts internally and externally
  • Oversee the work within the Operations department together with the GM : , hotel representatives, airport representatives and drivers
  • Ensure all necessary steps are being taken from the inquiry, booking, execution to evaluation of the tour
  • Maintain stock control of all brochures and the necessary material required by the Representatives Department
  • Operations Quality Management :

    Produce and distribute reports to relevant internal parties such as progress against targets, passenger numbers, expense reports etc.

    Produce reports to track against forecast budgets and react to shortfalls in the budget

    Monitor all complaints and ensure customer satisfaction is maintained

    Manage, guide and follow-up the Quality Service and act as a Customer Administrator

    About you

    Bachelor’s degree in tourism & hospitality management, business administration or related field

    Minimum of 2-5 years of experience in a similar role within DMC, travel agency or tour operator

    Knowledge of the destination, Experience in the local tourism industry is a plus

    English proficiency is a must, any other language is an asset

    Excellent communication and organizational skills
